At Mission Planet Foundation CIC (“we”, “us”, or “our”), we’re committed to protecting your privacy and data.

We’re a UK-based Community Interest Company (CIC) on a mission to create positive global change through storytelling, fundraising, and compassion-driven action. This policy explains what data we collect, how we use it, and your rights.

2. Information We Collect

We collect personal data when you:

  • Fill out a form (e.g. contact, newsletter, project suggestion, podcast sponsor)

  • Subscribe to our email updates

  • Make a donation or purchase merchandise

  • Interact with our website or media content

This may include:

  • Name and email address

  • Messages or project ideas

  • Marketing preferences

  • Donation or purchase data (via secure third-party processors)

  • IP address, browser, and device info (via cookies)

We collect only the minimum necessary data. We do not ask for racial or ethnic data, and the only sensitive information we hold is the health information someone chooses to give us on an event waiver, which is covered in section 12.

3. How We Use Your Data

We use your data to:

  • Respond to your messages or questions

  • Share updates via our newsletter (only if subscribed)

  • Manage podcast sponsorship, donations, and merchandise orders

  • Improve our website and impact storytelling

  • Grow our digital community responsibly

We do not share, sell, or rent your data to any third parties.

5. Our Legal Basis for Processing

Under UK GDPR, we rely on:

6. Email & Newsletter

We’ll only contact you by email if:

  • You subscribed to our newsletter

  • You requested information or sponsorship details

  • You engaged with our campaigns or forms

You can unsubscribe at any time using the link in any email or by contacting us.

7. Data Security

All data is securely stored in our encrypted CRM system, accessible only to authorised team members. We take all reasonable steps to prevent data loss, misuse, or unauthorised access.

8. Your Rights

You can:

  • Request access to your data

  • Correct or delete your information

  • Withdraw consent at any time

  • Lodge a complaint with the UK ICO (Information Commissioner’s Office)

9. Data Retention

We only keep your data as long as necessary for the purposes outlined above or to comply with legal and accounting obligations.

10. Children

Our website and newsletter are not directed at children under 13. If we learn we’ve collected data from a child without consent, we’ll delete it immediately.

11. Community Directory

The Community Directory is a page inside our members area listing members who have chosen to appear on it, with their name, what they do, and the contact details they gave us.

  • It is visible only to members who are signed in. It is not public, and it is not indexed by search engines.

  • Everything on it is what you gave us. We do not add anyone who has not asked to be listed.

  • Ask us to change or remove your entry at any time and we will do it. Removing you takes you off the page straight away.

12. Event Waivers

Before taking part in one of our sessions or events we ask you to sign a participation agreement. When you sign it we store your name, date of birth, email address and phone number, your emergency contact’s name and number, anything you choose to tell us about your health, your signature, and the date, time and IP address it was signed from. Where an adult signs for someone under 18, we store that adult’s name and their relationship to them.

We use it to run our events safely, to reach the right person quickly if something happens to you, and to keep a record of what you agreed to. Our legal basis is our legitimate interest in running events safely; for health information it is your explicit consent, which you give by choosing to write it on the form. Leaving that box empty is always an option.

Health information is seen only by the people running your session. It is never published, never used for marketing, and never passed to anyone else.

We keep a signed agreement for six years after your last event with us, because that is how long a claim can be brought. Where it was signed for someone under 18, we keep it until their 21st birthday. Then we delete it.

The agreement asks separately whether you are happy for photographs and film of you to be used on our website, in our newsletter and on social media. That box is optional, saying no changes nothing about how welcome you are, and you can change your mind at any time by emailing us.

13. KindFest

KindFest is our free week of community events in Stratford-upon-Avon. If you sign up on our KindFest page we store your name and email address, and your mobile number if you give us one. We also store which of the two options you chose, the kinds of event you said you were interested in, and your age group if you told us. If you offered to host or contribute something, we store your business or group name, what you said you could offer, and when you said you could host it.

We use it for one thing: to send you the KindFest event calendar and news about KindFest. Our legal basis is your consent, which you give by ticking the box on the form. We store the exact wording you agreed to and the moment you agreed to it, so there is always a record of what you actually said yes to.

We will only text or message you if you gave us a mobile number and ticked the separate box for it. Leaving that box unticked means we will only ever email you.

Every email we send has an unsubscribe link, and it works in one click. When you unsubscribe we stop emailing you straight away, and we keep a note that you asked us to, so you are not added back by mistake later.

Sign-ups are stored in our secure database, which only our team can reach. They are not kept in anyone’s personal inbox or in a spreadsheet on a laptop, and they are never shared with our KindFest partners or anybody else.

We keep your details until the end of 2027, so that we can tell you about the next KindFest, and then we delete them. You can ask us to delete them sooner at any time by emailing hello@themissionplanet.com.

KindFest is for every age, and anyone can sign up. If you are under 18 we will only ever send you information about KindFest itself and nothing else. If you are under 13, please ask a parent or guardian before you give us your details.

14. Updates to This Policy

We may update this privacy policy to reflect operational or legal changes. We’ll post the latest version on this page.
